WeEstimate Add-On Modules
The following add-on modules are available for use with WeEstimate to target specific sales needs for enhanced workflow functionality.
The robust tax management built into standard WeEstimate software offers a wealth of features, including annual updates of rates by city, state and zip code, but for some customers, it’s our Advanced Tax module that puts WeSuite’s sales management tools in a league of its own. Use it to define and assign tax rates at the customer level, or on a line-by-line basis at the bill of materials within each estimate, as well as to differentiate between items subject to use tax, retail tax, non-taxable or other categories.
Identify customers by category, including non-profits and government, and have the right taxes calculated and applied automatically. We can even keep your tax rate database updated on an on-going basis throughout the year, making sure that any changes at the state or local level are implemented immediately. US and Canadian tax tables are available.
This module enables the creation of pre-sale and/or post-sale approval systems within WeEstimate. Approval systems operate as rule clusters that can be based on a variety of triggers within the system such as: exceeding individual user threshold criteria based on the total sale dollar amount, a minimum gross profit margin or labor hours, approvals needed from specific management levels for certain job types, approvals based on specific labor types, equipment, recurring services or chargeable items included on Estimates. Approvals rules can apply to groups or to individuals, may be cross-Regional and within Offices, and can operate in a hierarchy, first able and exception basis.
The Automated Approvals module keep process flowing efficiently by use of email and Dashboard notifications once the approval process is started, and creates a history of approval processes per Estimate. “Approvers” may review and approve or reject proposals by opening the proposal from their Dashboard within WeEstimate or by reviewing a Job Summary Report and approving the job based on the report.
Sales personnel see approval status for each proposal within the proposal itself at the Approval tabs (Pre- Sales/Post-Sale) on the Estimate screen. Emails are sent to both the approver and the end user as the approval process is enacted. Once an Estimate has been approved, the sales person cannot make additional changes. If changes are required, the sales person may take the project out of the approval process, make the necessary changes and re-start the approval process. An approval history is included on the Job Summary Report with this module.
For those companies who need to be sure that the costs for items such as: subcontract labor, construction equipment rentals, permits, surcharges for material price fluctuations, costs for bonds and additional insurances are covered, WeEstimate can include the Chargeable Items module. Chargeable Items are defined and priced per WeSuite system within the Chargeable Items editor and can be fixed price or calculated based on certain pre-defined items.
At the Chargeable Items tab on the Estimate Screen, Users select the Chargeable Items needed, “drag and drop” the items on the appropriate job proposal folders and calculations for those items are automatically included on the proposal. Costs that today are often missed during the sales proposal stage can now be accounted for and included on the job!
WeEstimate can include a commission management system to provide estimated commission calculation for Estimates! Commission amounts are based upon defined rules per commission plan. Commission amounts, splits and overrides can be per Estimate or a volume of sales, recurring services, based on sale or job types, the term of the sale, sliding gross margin and a number of other factors.
Estimated commission amounts show at the Estimate screen, on the Universal Report Grid and in Commission Reports for your sales team. Commission systems are defined by the Client to determine commission amounts per sale based on logic defined within the CMS Module. Multiple commission systems can be defined and used within the system simultaneously: different salespeople can have different commission plans. Manager overrides and National Account overrides can also be set within the system.
WeEstimate can auto-generate sales contract documents. Information included in the Estimate is programmed to auto-populate to available contract documents. Users may select one or multiple contracts for each job and print, email or automate the contract(s) for electronic signature by the customers.
The Contract Documents Module also enables Uses to create a scope of work or notes if desired, include equipment/pricing schedule per contract and can also include service selections and definition of contract start dates. Electronic signature services are provided via integration with eOriginal or DocuSign (contracted separately).
The Finance Lease Module enables your sales team to include company defined finance options on proposal or contract documents. The module includes a formula for automated calculation of the Rate Creation Multiple, making it easy to understand the number of months required to make the company whole on loss-leader sales. It also includes definition of multiple company finance lease options, as well as definition of third-party traditional lease programs, with varying deposit and payback amounts for auto calculation and inclusion on proposal documents.
Lease and Outright Sale pricing can also be calculated at the click of a button on the Estimate screen for each job by defining “lease” pricing at the equipment level. Salespeople can decide to lead with the lease price and show an outright sale price, or lead with the outright sale and show a lease alternative.
WeEstimate can include definition of fixed contract pricing such as: GSA, state and local government contracts or fixed price contracts for specific customers. This module enables equipment and labor hourly rate pricing per the definition of the contract including, contract source pricing alone or in addition to “standard” commercial parts pricing, labor categories, inclusion or not of other items such as freight, warranty, burden items, etc.
For GSA contract holders, SIN number and reference to other contract holders is possible. When an Estimate is started using a defined Fixed Price Contract, the parts and labor pricing is restricted to the selected pricing contract.
If you need to provide an estimate to multiple entities for a single project, the Quote to Contractor Module enables a single estimate to be created and emailed individually, or all at once, to specified contractors. This saves the time and effort of copying estimates multiple times, creating and saving a separate estimate for each party.
After knowing which entity has accepted your Estimate, make that entity the customer and you’re all set. Allows quotes to be sent to multiple parties at once, removes the same Estimate from reporting multiple times, eliminates not knowing which Estimate was sent to represent your pricing proposal.
This module enables mobile, collaborative selling with customers and prospects. Perfect for small business and residential sales, change orders and even larger, more complex sales, QuoteAnywhere enables sales teams to quote and sign from the desktop or collaboratively with customers in the field. The easy interface enables part and package search and selection, addition of labor, chargeable items and recurring services for easy quoting. Company proposal and contract documents are built in. Create estimates with or without site surveys and when ready, generate and send sales proposals and contract documents or sign electronically using integrated electronic signature services from eOriginal or DocuSign.
WeSuite’s onboard Site Survey tool allows users to document the sale, or design on the job site with customers, by searching and locating project devices on a digital canvas. Users upload a floor plan image, take a photo or even sketch their own plans using onboard tools. Drag and drop parts from the live database to their respective locations, add notes and the estimate automatically builds and updates from the Site Survey canvas! Onboard tools enable hand drawing, zoom functionality, printing and saving surveys. QuoteAnywhere and the Site Survey are integrated with WeEstimate. For more complex estimates or for internal collaboration, Site Surveys and estimates built in QuoteAnywhere can be viewed, edited and sent from WeEstimate, providing terrific flexibility for your sales team.
Include our powerful Recurring Monthly Revenue generator. This WeEstimate module enables definition of customized RMR (recurring monthly revenue) billing codes/items and defined fixed or calculated pricing for each RMR Item. RMR codes are added directly to each proposal folder by using simple “drag and drop” technology for each required RMR Item. Users may specify a quantity for subscription items that rely on the calculation of a quantity multiple of the RMR.
The module also enables definition of specific RMR dollar amounts at the equipment level if desired. RMR Item dollar amounts are automatically calculated and added to the Estimate and programmed to specified fields on proposal and contract documents. In addition, RMR dollar amounts are reflected against RMR sales quotas and added to WeEstimate reports including the Universal Report Grid. This module makes selling and presentation of recurring and subscription services easy.
WeEstimate can include a Test & Inspection Module for those Clients who provide test and inspection and subscription-based sales and services. The Test & Inspection Module integrates directly with WeEstimate enabling Clients to define customized Test & Inspection billing codes based upon: quantity of devices, or a percentage of the total quantity to be tested, the minutes assigned to each test and inspection category, the annual frequency of test and inspection services, and the total length (in years) of the contract. Test & Inspection codes are added directly to each proposal by Users using simple “drag and drop” technology for each code needed.
Test & Inspection dollar amounts are automatically calculated and programmed for auto-generation with proposal and contract documents to be sent to customers.
